Part A

Know your chapter before you do anything

The data is the handover. Open the Aftercare Beats Excel, go to your chapter tab. Everything is there. Your job is to understand it before you make your first call.

Where to start: Download the Aftercare Beats Master Excel above. Open your chapter tab. Every youth's name, MAD Code, phone, email, status, financial support, and plan are pre-filled from Pulse 2026.
A1 — Read the data
Before your first call
Know your chapter before speaking to anyone
  • How many youth are in your chapter and who they are
  • Gender split: male and female
  • Age distribution: 18-21, 22-25, 26+
  • What each youth is doing: studying, working, looking, not engaged
  • Course, role, and employer where pre-filled
  • Chapter total budget — scholarship, housing, stipend
  • SSG group assignments and any gaps
A2 — Understand the support
Before your first Aftercare Circle
Know who needs what and who is already holding it
  • Which youth have a named Wingman — and which do not
  • Open crisis cases and their level (L1, L3, L5)
  • Youth flagged for career guidance or academic support
  • Financial support — amounts and until when
  • Housing support — who, and until when
  • TR youth — CCI name and expected AC transition date
  • S6 plans — what each youth wants to do next year
Ready for Part B when: You can describe each youth in one sentence — where they are, what they need, who is supporting them right now.
Part B

The transition steps

Four steps. Each has a clear owner and a clear done-when. Do not skip — each builds on the last.

Step 1 · Youth Progression Captain · Week 1
Find the outgoing YPC and schedule the handover call

Every chapter has a history in the outgoing YPC's head, not in the spreadsheet. Find them first — they hold the relationships, unfinished conversations, and fragile cases.

  • ►Check the chapter tab cover row for the previous YPC name
  • ►Contact central team for their number if not listed
  • ►Schedule the call — come prepared with Part A data
  • ►On the call: ask about flagged youth, open crises, continuing Wingmen, unfinished tasks
  • ►After the call: update Programme Narrative column for every youth
Done when: Spoken with outgoing YPC, have Wingman list, Programme Narrative updated for all youth.

Step 2 · Youth Progression Captain · Week 2
Call every continuing Wingman — confirm assignments and fill chapter data

Your first call with each Wingman sets the tone. Be specific about expectations. Use the call to also fill any data gaps in the chapter tab.

  • ►Call every continuing Wingman — do not just message
  • ►Confirm which youth they are assigned to for 2026-27
  • ►Confirm the standard: 2 documented interactions per month for 18-25 youth
  • ►Update Wingman Name column (col S) in the Excel for every assigned youth
  • ►Fill missing data gaps: course, role, phone, email where not pre-filled
Done when: Every Wingman called, youth list confirmed, col S filled, chapter data gaps closed.

Step 3 · YPC + Wingmen + Fellows · Week 2-3
Hold the first Aftercare Circle — Wingmen and Fellows planning session

The Aftercare Circle is the monthly planning session for Wingmen and Fellows. The first one of the year is the most important: the whole team aligns, unassigned youth get Wingmen, and the 2026-27 plan gets locked in together.

  • ►Invite all Wingmen and continuing Fellows
  • ►Before the circle: identify all AC youth with no Wingman in col S
  • ►In the circle: review every youth as a team — status, plan, support needed
  • ►Assign Wingmen to all unassigned AC youth — ratios 1:2 for 18-21, 1:3-4 for 22-25
  • ►After: update Current Activity and Next Review Date for all youth
Done when: Circle completed. Every AC youth has a named Wingman in col S. Current Activity updated.

Step 4 · Youth Progression Captain
Run the first SSG meeting and submit completed chapter data

The first SSG (Self Supporting Group) meeting must be held before submitting. The SSG is the monthly peer group where youth come together — it is core to the programme. Once done, submit to the central team.

  • ►Schedule and hold the first SSG meeting
  • ►Confirm SSG group name in col T for each youth
  • ►All yellow columns filled for every youth
  • ►Wingman name in col S for every AC youth
  • ►Financial data confirmed with programme team
  • ►Submit chapter tab to central team
Success criteria: “Incoming YPC has reviewed chapter data, spoken with outgoing YPC, has Wingman contact details, and has held the first Aftercare Circle.” — MAD Chapter Playbook

“No youth should enter 2026-27 without a named Wingman, a known plan, and a documented budget.”
